Contact Management Overview

Omnigage provides features to create, manage and share your Contacts within your Organization.  The Contact management features of Omnigage are intended to complement your existing CRM, but Omnigage can be used as a standalone CRM if you choose to do so.

Within Omnigage, a Contact record only "owns" the attributes that directly relate to it.  Examples of these attributes would be the Contact Name, Email, Phone Numbers and Contact Notes.  Other attributes of a Contact that are not directly "owned" but in which the Contact is a participant are Conversations and the Engagement History.

Contacts may be shared to other Omnigage Account Users in your organization by granting Collaborator access to those Users.  The Collaborator Access Type are:

  • Read access allows a User to view the details for a Contact.  If the User also has Collaborator access to any Phone Number or Caller ID used in a Conversation or Engagement with the Contact they will be able to view the Conversation or Contact.
  • Write access includes all of the permissions included with Read access, but adds the permission to edit the Contact attributes, create and edit Contact Notes and to delete the Contact.
  • Admin access includes all of the permissions included with Write access, but adds the permission to grant Collaborator access to the Contact to other Users.

Contact Record Overview

The information contained in a Contact record is distributed across multiple tabs for simpler access and management.  The tabs are:

  • Overview - provides an at-a-glance overview of the Contact including  the most recent Engagements, Contact Notes and Best Call Times.
  • Details - provides a complete list of the Contact attributes and may include multiple Emails, Phone Numbers and Addresses
  • Engagement History - provides a list of all bulk Engagements which have been sent to this Contact
  • Conversations - provides a focused Inbox view of incoming and outgoing Engagements and Messaging between the Contact and Users within your Omnigage Account.  The available Conversations to view are dependent upon Collaborator access to both the Contact and the Phone Number or Email ID used in the Conversation.
  • Customer Notes - provides a history of Contact Notes, both Oublic (can be viewed by other Users with Collaborator access to the Contact) or Private (can only be viewed by the User that created the Private Note)
  • Collaborators - this tab is only displayed to Users with Admin access to the Contact, and allows the management of Collaborator access to the Contact

Editing a Contact

Contacts may be edited by any Account User that has Collaborator Write access or greater.  Contacts may be deleted by any Account User that has Collaborator Write access or greater.  Deleting a Contact will set an attribute of ARCHIVED on the Contact record and they will not be included in any Engagements that use Lists to which the Contact is associated.  Contacts may be unarchived by viewing  the collection of Contacts, selecting the ARCHIVED toggle at the bottom-right, and clicking the UNARCHIVE action for the selected Contact.
