An Overview of the Relationship Between Lists and Contacts

Within Omnigage, Lists allow for the simple organization, segmentation and sharing of access to your Contacts.  Within the Omnigage platform, Contacts exist independently of Lists allowing for Lists to be shared, edited and deleted without modifying the Contacts to which they are associated.  As such, the reverse is also true; a Contact may be shared, edited or deleted without modifying the List(s) to which they are associated.

  • Lists provide access the basic attributes of the Contacts that are associated: Contact's Name, Phone Number and Email
  • A User with Collaborator access to a List, but no Collaborator access to a Contact on that List cannot view the details of the Contact (ex. Conversations, Notes, Best Call Times)
  • A User with Collaborator access to a List, but no Collaborator access to a Contact on that List cannot assign that Contact to any other List(s) that the User may have created or have access to
  • Lists may be created and deleted without modifying the Contacts which are associated to the List
  • Collaborator access to Lists is restricted to a single Omnigage Account; you may not share a List with another Account (however, you may Export Contacts if your Account Administrator has enabled this function)

Creating a List

To create a List:

  1. Click the Contacts icon in the main navigation.
  2. Click the Create List option.
  3. Enter a List Title.
  4. Click the SAVE LIST button.

Assigning Contacts to a List

You may assign Contacts via two methods:

  1. When viewing the collection of Contacts that you have access to, select one or more Contacts via the checkboxes.
  2. The list of Lists will enable with the ASSIGN TO LIST button.
  3. Clicking the ASSIGN TO LIST button will assign the selected Contact(s) to the List.

You may only assign Contacts to a List that you have Collaborator access to the Contact.  You will see a resource access error if you attempt to assign a Contact to a List and you do not have Collaborator access to the Contact.

The second method for assigning Contacts to a List is:

  1. Click the Manage Lists option.
  2. Click EDIT on the List that you wish to manage the Contacts for.
  3. Click the Contacts tab.
  4. Click the ADD CONTACT button.
  5. Use the Contact field to search the available Contacts that you have Collaborator access to.
  6. Leave the Is Subscribed attribute as Yes.
  7. Click the SAVE ITEM button.

Granting Collaborator Access to a List

Sharing of Lists within an Omnigage Account is accomplished by granting Collaborator access to the List.  The available Collaborator Access Types are:

  • Read access allows a User to use the List in Engagements but they will not be able to see the details for the Contacts unless they also have Read (or greater) permission on the Contact(s).
  • Write access includes all of the permissions included with Read access, but adds the permission to rename the List, add and remove Contacts from the List and change the Is Subscribed attribute for each Contact on the List.
  • Admin access includes all of the permissions included with Write access, but adds the permission to grant access to this List to other Users, and to delete the List.

To grant Collaborator access:

  1. Click on the Contacts icon in the main navigation.
  2. Click the Manage Lists option.
  3. Click the List that you wish to share with another User.
  4. Click the Collaborators tab.
  5. Click the ADD COLLABORATOR button.
  6. Select the Access Type that you would like the User to have.
  7. Use the User field to search for and select the User that you with to grant access to this List.
  8. Click the SAVE COLLABORATOR button.
