Voice, Text and Email Templates
The Omnigage platform provides multiple channels to engage your Contacts; Voice, Email and Text blasts as well as individual Conversations of each type between a User and a Contact. To facilitate the creation and management of commonly used content, each Template type can be created and managed within the Templates section. Here we will discuss the types of Templates that are available and provide an overview for the creation of each one.
Voice Templates
Voice Templates allow for verbal message delivery or responses via Voice Blasts, Click-to-Dial and Calls. Inbound voice calls allow for both Audio and Text-to-Speech Voice Template responses (i.e. prompts, greetings). Voice Templates may be either Audio or Text-to-Speech.
Audio Voice Templates may be created by the following options:
- Call To Record - allows you to use any phone to which you access as a recording interface. After specifying a phone number, the system will initiate a call and prompt you to record, preview and save your message.
- Local Recording - allows you to use the built-in microphone or connected microphone peripheral device of your device to record audio and upload it directly to the Omnigage platform.
- Upload File - allows you to browse your local and network directories to select and upload pre-recorded audio files. Audio files must be one of the following types: WAV, MP3, AIFF, FLAC, M4A
Text-to-Speech Voice Templates may be created by typing the text of the audio which will be spoken by a voice synthesizer selected in your Engagement.
To create a new Audio Voice Template:
- Click on the Templates icon in the main navigation.
- Click on the Voice Templates option. (this is selected by default, this step is included for clarity)
- Click on the ADD VOICE TEMPLATE button.
- Enter a Name for the Voice Template, and then select the Kind of Audio.
- Choose the method by which you wish to create the Audio Template:
Call to Record
1. Click the Call to Record tab (this is selected by default, this step is included for clarity)
2. Click the CALL YOURSELF button
3. Enter the phone number in the Your Number field within the Terminal
4. Click the CALL YOURSELF button within the Terminal
5. Follow the audible and Terminal prompts to Record, Preview, Re-Record and Save your message
6. Click the SAVE MESSAGE button in the Terminal.
7. Click the HANG UP button in the Terminal.
Local Recording
1. Click the Record Locally tab
2. Click the RECORD button, your browser may prompt you to grant microphone permission to the Omnigage application.
3. Speak your message, click the STOP button when you have completed your message.
4. You may optionally click the Play option to preview your message
5. Click the UPLOAD RECORDING button to send your message to the the server.
6. Click the SAVE MESSAGE button.
Upload File
1. Click the Upload File tab
2. Click the BROWSE button to open up the local directory file browser
3. Select a file of one of the following types: WAV, MP3, AIFF, FLAC, M4A
4. Click the SAVE MESSAGE button
To create a new Text-to-Speech Voice Template:
- Click on the Templates icon in the main navigation.
- Click on the Voice Templates option. (this is selected by default, this step is included for clarity)
- Click on the ADD VOICE TEMPLATE button.
- Enter a Name for the Voice Template, and then select the Kind of Text.
- Enter the text that you wish to have the system speak when this template is selected. Note that you may insert variables that allow customization of the spoken audio. The current system variables include: First Name, Last Name, Title, Company, Birthday and Gender. The variables will be replaced with spoken audio of the variable values, or silence if the variable values are not available.
Ex. "Hello {{First Name}} {{Last Name}}, thank you for calling." would be spoken as: "Hello Joe Smith, thank you for calling" if the Contact name was Joe Smith. - Click the SAVE MESSAGE button.
Text Templates
Text Templates allow for SMS/MMS message delivery via Text Blasts.
To create a new Text Template:
- Click on the Templates icon in the main navigation.
- Click on the Text Templates option.
- Click on the ADD TEXT TEMPLATE button.
- Enter the Name of the template and the Body Content. Note that you may insert variables that allow customization of the text message. The current system variables include: First Name, Last Name, Title, Company, Birthday and Gender. The variables will be replaced with the text of the variable values, or blank if the variable values are not available.
Ex. "This message is for {{First Name}} {{Last Name}} of {{Company}}" would be delivered as: "This message is for Joe Smith of Omnigage" if the Contact name was Joe Smith and his Company was Omnigage. - You may optionally attach an image file of types: JPG, PNG. This will be delivered with the text message as an MMS attachment.
- Click the SAVE MESSAGE button.
Email Templates
Email Templates allow for email message delivery via Email Blasts.
To create a new Email Template:
- Click on the Templates icon in the main navigation.
- Click on the Email Templates option.
- Click on the ADD EMAIL TEMPLATE button.
- Enter the Subject of the template. The Subject is used as the Subject for the email message that is sent to the Contact. It is also used as the identifying name when selecting an Email Template when creating an Engagement.
- Enter the Body Content of the Email Template. The Body Content allows for HTML markup from simple formatting to complex HTML email templates. You may paste in the source of any 3rd part HTML email template. Any JavaScript will be removed from the template. Any images must be referenced using the fully qualified domain name. (ex. http://www.domain.com/my-image.jpg"). Note that you may insert variables that allow customization of the email message. The current system variables include: First Name, Last Name, Title, Company, Birthday, Gender, Unsubscribe Link and Unsubscribe URL. The variables will be replaced with the text of the variable values, or blank if the variable values are not available. An Unsubscribe Link will automatically be added to any Email Template that does not include and Unsubscribe Link in the Body Content when the Email Template is used in an Engagement.
Ex. "This message is for {{First Name}} {{Last Name}} of {{Company}}" would be delivered as: "This message is for Joe Smith of Omnigage" if the Contact name was Joe Smith and his Company was Omnigage. - You may optionally attach one or more files. These will be delivered with the email message as an attachment. Note that attachments should be limited to less than 2MB in total file size to ensure the maximum delivery compatibility.
- Click the SAVE MESSAGE button.
